According to the notice, the official closing time for the Office of the Vice-Chancellor is 5:00 p.m. daily, and all staff, students, and other visitors are encouraged to schedule and complete their visits within official working hours. Staff requiring consultations outside these hours, including professors, are advised to make prior arrangements through the Office of the Vice-Chancellor.

Key guidelines include:
- Visitors should wait in the designated Waiting Area rather than in the Secretary’s office.
- External visitor hours are set between 2:00 p.m. and 3:00 p.m., unless a prior appointment has been made.
The University emphasised that these measures are intended to promote efficiency, orderliness, and proper coordination of official engagements, ensuring that all visitors are attended to promptly and respectfully.
The Directorate of Strategic Communication and Corporate Documentation has been tasked with circulating the notice to the University community.
